The short answer

The best cold email software depends on how many mailboxes you run. If you want mailboxes, warmup and leads in one flat price, EmailPal is unusually cheap at scale. If you want the lowest entry price, Smartlead starts at $39 a month. If you want a large built-in lead database with unlimited accounts, Instantly is the safe pick.

  • Mailboxes and leads in one priceEmailPal: $69/month includes 50 mailboxes, automatic DNS and unlimited US leads; extra mailboxes $1 each.

What we would avoid

Sending cold email from your main domain. Every tool above supports separate sending domains. Cold email from your primary domain puts its reputation, and your normal email, at risk.

How to choose a cold email tool in 2026

1. Cost & value for money

Entry price is misleading. In cold email, the real cost is the plan plus the mailboxes, warmup and lead data you need to run it.

Most tools let you connect unlimited mailboxes, but you supply them. When the tool sells the mailboxes, 50 of them cost from $50 (EmailPal, $1 each beyond the 50 included) to $1,450 a month (Reply.io at $29 each).

What 50 mailboxes cost when bought from the tool
ToolEntry planMailbox price50 mailboxesPlan + 50 mailboxes
EmailPal$6950 included, then $1 eachIncluded$69
Saleshandy$41$3.49 each (25 minimum)$174.50$215.50

Mailshake$29$12 each$600$629
Reply.io$59$29 each$1,450$1,509
Smartlead, Instantly, lemlist$39 / $47 / $69Bring your own (unlimited connected)Your mailbox provider's pricePlan + your mailboxes

Monthly, USD. Mailbox types differ (SMTP mailboxes, Google or Microsoft addresses), and warmup may be extra. Prices from each vendor's page, 20 October 2026.

2. Deliverability: warmup, rotation and IPs

Warmup is included at Instantly, lemlist, Saleshandy, Reply.io and Mailshake, and Smartlead offers premium warmup on its upper tiers. EmailPal charges $0.60 per inbox or rents pre-warmed inboxes at $3. Dedicated IPs or servers cost $20 a month at EmailPal, $39 per server at Smartlead and $59 at Woodpecker, and come with Instantly's top tiers.

3. Lead data

EmailPal includes unlimited US leads. Saleshandy includes 1,500 to 4,000 credits a month. Instantly (450M+), lemlist (650M+) and Reply.io sell data through credits or add-ons. If you already buy data elsewhere, this matters less than mailbox cost.

4. Agency and white-label features

Reply.io (Agency plan), Smartlead ($29 per client workspace) and Woodpecker ($5 per client white label) are built for agencies. Saleshandy offers white label on Enterprise only. lemlist, Mailshake and EmailPal do not list white label.

5. API and AI

EmailPal (REST API and a 96-tool MCP server), Saleshandy (REST API and MCP) and Reply.io (API, MCP, n8n) suit teams wiring outreach into their own agents. Woodpecker charges $20 for API access. On AI, check whether it only writes or also replies: EmailPal's Pal never answers replies, while Instantly and lemlist sell AI reply features.

Final words

Most cold email tools send email the same way. The real differences are what you pay for mailboxes, warmup and leads, and whether the tool fits an agency workflow.

If you run 50 or more mailboxes and want one bill, start with EmailPal. If you own your mailboxes and want the cheapest sender, use Smartlead. If lead data matters most, use Instantly, and if you resell outreach to clients, use Reply.io.

Frequently asked questions

What is the best cold email software in 2026?

It depends on your volume. EmailPal includes 50 mailboxes and unlimited US leads for $69 a month. Smartlead has the lowest entry price at $39. Instantly pairs unlimited accounts with a 450M+ lead database from $47. Reply.io is the strongest agency option.

How much does cold email software cost?

Entry plans cost $29 to $69 a month in 2026: Mailshake $29, Smartlead $39, Saleshandy $41, Instantly $47, Reply.io $59, and EmailPal and lemlist $69. Mailboxes, warmup and lead data can cost more than the plan itself.

What is the cheapest cold email software?

Mailshake has the lowest sticker price at $29 a month for one mailbox, and Smartlead is the cheapest with unlimited accounts at $39. If you also need 50 mailboxes, EmailPal is cheapest at $69 with them included.

How many mailboxes do I need for cold email?

A common rule of thumb is 30 to 50 cold emails per mailbox per day; EmailPal's own example is more conservative, at 10 pre-warmed inboxes for 150 emails a day (15 each). So 1,500 emails a day takes roughly 30 to 100 mailboxes.

Do I need email warmup?

Yes for new mailboxes. Warmup builds sending reputation before a cold campaign, usually over about 14 days. Most tools include it; EmailPal charges $0.60 per inbox a month or rents inboxes already warmed for at least 14 days.

Is cold email legal?

Cold B2B email is legal in many countries if you follow the rules. In the US, CAN-SPAM requires honest headers, a physical address and a working opt-out. GDPR applies to EU recipients. Check the rules for each country you email.

What is the best cold email software for agencies?

Reply.io has the most complete agency plan, with unlimited clients and mailboxes and white label. Smartlead adds white-label client workspaces at $29 each, and Woodpecker charges $27 per client panel plus $5 for white label.

Which cold email tool includes leads?

EmailPal includes unlimited US leads on every paid plan. Saleshandy includes 1,500 to 4,000 lead credits a month. Instantly, lemlist and Reply.io have large databases but charge for data through credits or add-ons.
